The Den Rewards Privacy Notice


1. Scope of this notice

The Den Rewards Privacy Notice explains how Cascadia Liquor collects, uses, discloses, stores, and otherwise processes personal information in connection with The Den Rewards loyalty program and the Cascadia Liquor mobile application. This notice is meant to work together with Cascadia Liquor's main Privacy Policy. If the program or app collects or uses personal information in a way that is more specific than the main Privacy Policy, this notice explains that more specific use.

Participation in the loyalty program is voluntary. If you choose not to provide information that is reasonably necessary to create or maintain your account, calculate points, validate eligibility, or administer rewards, we may not be able to enroll you or continue your participation.

2. Personal information we collect

Depending on how you enroll or participate, we may collect identifiers and contact details such as your name, email address, phone number, mailing address, and account login details.

We may collect profile and preference information such as your preferred store, communication preferences, birthday month or birthday if you choose to provide it for a birthday offer, and records of your loyalty settings or opt-ins.

We may collect transaction and loyalty activity information such as items purchased, date and time of purchase, store or channel, basket value, points earned, points redeemed, rewards used, returns, cancellations, and account balance history.

We may collect technical and usage information from the app and website, such as device identifiers, IP address, browser or operating system information, session activity, app events, push-token information, and troubleshooting logs.

We may collect communications information when you contact us or interact with customer support, surveys, promotions, or program-related notices.

3. Sources of information

We collect personal information directly from you when you sign up, use the app, use the website, shop in store or online, redeem rewards, contact us, or participate in a promotion.

We also collect information automatically through the app, website, cookies, analytics tools, mobile SDKs, and similar technologies, and from service providers that help us operate ecommerce, payments, order fulfillment, messaging, analytics, fraud prevention, and loyalty administration.

4. How we use personal information

We use personal information to create and manage your Den Rewards account, verify eligibility, calculate and post points, process redemptions, maintain reward history, support in-app and online account functionality, and provide customer service.

We use personal information to operate, maintain, secure, and improve the app, the website, and the loyalty program. This includes debugging, analytics, fraud detection, identity verification, abuse prevention, store compliance, and legal or record-keeping obligations.

We may use purchase history, preferences, store selection, and app or site activity to personalize content, offers, and program communications. Where required by law, we will seek an appropriate consent before sending promotional emails, text messages, or push notifications.

We may also use personal information to communicate about launches, sign-up bonuses, point balances, expiring rewards, special offers, store events, product releases, or other marketing that you have agreed to receive or that we may otherwise send where permitted by law.

5. How we disclose personal information

We may disclose personal information to service providers that host or support our website, mobile app, ecommerce stack, loyalty engine, point-of-sale integrations, payment processing, order management, analytics, email and SMS tools, cloud storage, fraud detection, and customer support.

We may disclose personal information to professional advisers, regulators, law enforcement, or other third parties where required or permitted by law, to enforce our terms, or to protect our rights, customers, staff, stores, systems, or the public.

If Cascadia Liquor completes a business transaction such as a sale, merger, financing, reorganization, or transfer of assets, personal information related to the program may be disclosed as part of that transaction, subject to applicable legal safeguards.

6. Cross-border processing

Your personal information may be processed in Canada, the United States, or other jurisdictions where Cascadia Liquor or its service providers operate. When information is transferred across borders, it may be accessible to courts, regulators, or law enforcement in those jurisdictions, subject to applicable law.

We use contractual, technical, and organizational safeguards that are reasonable in the circumstances to protect personal information during storage and transfer.

7. Retention

We keep personal information only as long as reasonably necessary for the purposes described in this notice, to maintain your account, to administer the program and app, to comply with legal, accounting, tax, fraud-prevention, and record-keeping obligations, or to resolve disputes and enforce our agreements.

When information is no longer reasonably required, we will delete it, anonymize it, or securely destroy it in accordance with our retention practices and applicable law.

8. Your choices and rights

You may access, update, or correct certain account details through your account settings or by contacting us. Subject to applicable law, you may also request access to, correction of, or deletion of personal information that we hold about you.

You may withdraw from The Den Rewards at any time by closing your account or contacting us. If you withdraw or request deletion of information that is necessary to operate the loyalty account, we may no

longer be able to provide the program to you and your unused points or rewards may be forfeited in accordance with the Rewards Terms.

You may opt out of promotional emails, texts, or push notifications through your account settings, device settings, or the unsubscribe tools included in those messages. Operational messages about your account, orders, rewards, redemptions, or legal and compliance matters may still be sent where needed.

9. Minors

The loyalty program and app are intended for adults who are legally eligible to purchase liquor in British Columbia. We do not intend to enroll anyone under 19 in the program. If you believe an underage person has been enrolled in error, please contact us so we can investigate and take appropriate action.

10. Security and updates

We use safeguards that are reasonable in the circumstances to protect personal information against loss, theft, unauthorized access, disclosure, copying, use, modification, or destruction. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
